Implementation of Stibo Systems PIM solution for Cyberport and its success factors

The Company

Cyberport SE is a well-known player in the electronics retail sector since 1998. Originally started as one of the first Apple retailers, the company quickly developed into one of the leading providers of electronic products in Europe. With a wide range of over 45,000 items, Cyberport serves both end customers and business customers. During the coronavirus pandemic, Cyberport experienced a huge boom as the demand for electronic devices for home office and leisure activities skyrocketed. This led to an increased need for optimised product information management (PIM) systems to efficiently manage the growing volumes of data and meet the increased demands of customers.

The Challenge

Cyberport faced a challenge familiar to many companies: Their legacy PIM system was now over a decade old, could no longer meet modern requirements and was therefore becoming a blocker to innovation. The outdated technology and high maintenance costs also posed a considerable technical risk. It was clear that a complete replacement was necessary to future-proof the company.    

Cyberport therefore decided to introduce a new PIM system and brought in SQLI to realise this challenging project. The SQLI team, consisting of three to four experts, supported Cyberport with comprehensive professional and technical expertise and a holistic approach – going beyond mere implementation.

Our solution

Potential for improvement and the implementation of the new PIM platform

The main objectives of the new PIM system included:

  • Improving data quality:
    Clean and detailed item data should provide customers with a better shopping experience.

  • Simplifying product maintenance:
    More elegant processes and data structures should make product maintenance in category management more seamless and significantly faster.

  • Integration of new technologies:
    The new platform needed to be flexible and expandable to integrate future technological developments.

The Cyberport team worked closely with SQLI's consultants to precisely define and implement the requirements. Despite some challenges, such as the migration of data and the integration of complex business logic, the project was successfully realised. A particular success was the introduction of a quality gate-based workflow, which set new standards for data quality and offered great added value for daily business.

Satisfaction was high, which was also reflected in the positive feedback. Sandro Scholz, Chief Architect at Cyberport, was impressed by the professional and efficient working methods of the SQLI team.

Success factors of the implementation

Several factors contributed significantly to the success of the implementation:

Regular face-to-face meetings and direct dialogue within the team led to effective and targeted project work.

Cyberport had already developed a comprehensive product data model, which served as a solid basis for the new PIM platform.

Stibo Systems PIM platform now enables uncomplicated access via a web browser, which significantly increases user-friendliness.

With the new platform, all departments have a comprehensive overview of product master data, sales prices, stocks and purchasing data.

The teams involved and their areas of responsibility were also mapped to the role and authorisation system in order to ensure a smooth process and improve communication around daily tasks within the new PIM. After all, a system is only as good as the people who use it.

The ability to gradually expand the system and add new functions ensures that Cyberport will remain flexible and innovative in the future.

Making, testing, demonstrating benefits - this helps to remain agile and open to possible improvements and changes and to reach the goal safely.

Another important success factor was the pragmatic approach of making complex topics as simple and understandable as possible. This made it easier for team members to understand and apply the new processes.

 

Stibo Systems PIM platform as a catalyst for strategic and technological innovation  

The implementation of Stibo Systems PIM platform has not only helped Cyberport to solve existing problems, but also to break new ground in the company's strategic and technological direction. In addition to improving the quality of both product data and processes, Cyberport is now able to integrate innovative technologies such as artificial intelligence (AI) and automated text generation with the new PIM platform. These technologies make it possible to further optimise product data maintenance and increase efficiency. Connecting to new standard software in the future will also be easier and faster to implement, which means less risk, more innovation and digitalisation.

Overall, Stibo Systems PIM solution offers the opportunity to open up new business opportunities, such as expanding the product range and improving customer loyalty through personalised offers. The platform creates the basis for data-driven decision-making and enables the company to react quickly to changes in the market.

With the decision to bring in an external consultancy such as SQLI, Cyberport has taken a holistic approach: The implementation became not just a project, but a strategically important step. External consultants bring fresh perspectives and specialised knowledge that are often not available in-house. They can introduce proven best practices and help avoid typical pitfalls. For Cyberport, SQLI's expertise meant that the implementation was carried out efficiently and successfully, helping the company to achieve its strategic goals and become future-proof.
